I understand that duplicate vendors are allowed in all categories—including Food Court, Cottage Food, and Food Trucks—and that multiple vendors may offer the same type of product at this event.

Cottage Food Vendor Acknowledgement *

I understand that if I need to keep items hot or cold, and/or if I plan to distribute samples, I am required to have a Helotes Food Permit.

Food Court Vendor Acknowledgement *

I acknowledge that if I do not currently have a Helotes Temporary Food Permit, I must email publicrelations@helotes-tx.gov to confirm that I have submitted my application. I understand that food permits are issued by the Helotes Development Services Department and may be received closer to the event date. However, confirmation that I have applied for a permit for this event is required. I also acknowledge that I must abide by all City of Helotes health code regulations when handling or serving food and beverages.

Food Truck Vendor Acknowledgement *

I acknowledge that a valid Food Truck Permit from Helotes Development Services is required to participate, and it is my responsibility to contact the department directly to obtain this permit.

Non-Profit Vendor Acknowledgement *

I understand that non-profit booths are intended for organizations that focus on promoting their mission or providing educational information about their services. Vendors whose primary purpose is the promotion or solicitation of products or services may not register under the non-profit category. I also understand that to qualify as a non-profit vendor, a valid 501(c)(3) designation must be on file.

I acknowledge that the following items are not permitted for sale by vendors at this event: *

Alcohol (opened or unopened) Animals CBD and CBD products Tobacco Firearms, knives, or other weapons Flea market or garage sale items Offensive, obscene, or vulgar items Political campaigns or candidates Businesses wanting to promote, advertise, or sell their products or services (such as insurance, medical, home improvement, repair, etc.)

Strict Prohibition: No Glass Beverage Containers *

I understand that absolutely no glass beverage containers (single-serving) are allowed. Violation of this rule will result in immediate suspension of vendor privileges.

The Sales and Tax Rate in Helotes is 8.25%. A Sales and Use Tax number is required to be a vendor, however, it shall be the sole responsibility of the vendor to correctly collect and report all sales tax information to the State Comptroller. If you are registering as a non-profit vendor, please upload your 501(c)(3) verification document.

All non-profit booths must provide a valid and active 501(c)(3) verification document. Businesses or services intending to solicit or promote are not eligible to register for this event.

Day-of Event Booth Adjustments *

I acknowledge that if any booth changes need to be made on the day of the event, I will cooperate fully, listen carefully, and comply with the instructions given. I understand that such changes may be necessary, and the Marketing and Events Coordinator has the authority to make any required adjustments on the day of the event.

I acknowledge & agree to the following statements

I certify that I have read this application and the policies and procedures available on the City of Helotes website, including (but not limited to) the Code of Conduct. I understand that all booth spaces for the July 3, 2025 event will be assigned by the vendor. I acknowledge that this form is only an application and that submitting it does not guarantee approval to participate in the 2025 Helotes Independence Day Celebration. I understand the application may take several business days to process, and the City of Helotes Marketing & Events Coordinator will contact me at the email address provided regarding approval status and booth assignment. I acknowledge the application deadline is Friday, June 20, at 4:00 PM. I understand that minors under 18 may not be left unattended at vendor booths at any time. I further acknowledge that the City of Helotes and the Helotes Festival Association are not responsible for lost, stolen, or damaged items and that on-site law enforcement should be contacted for any safety concerns.
